We have introduced the gallery access tab under your event details. We have tried to simplify your workflow by introducing presets for the type of access available to the gallery. These presets are common configurations that operators use.
For example:
Want to have guests only access their sessions and not receive a link/access to the full gallery?
Simply select Admin Access only.
Guests can still attempt to view the gallery if you do not hide the login button under your gallery settings. Simply hide the login button to ensure no guest hits a passcode enter screen.
Setting a Preset:
- Navigate to the dashboard (hyperlink - https://dashboard.booth.events/dashboard)
- Select Events on the left side panel
- Select the event you'd like to edit the privacy settings on
- In the top right of the screen select "Event Settings"
- Select the "Access" tab to reach the gallery access settings.
Selecting a Preset:
- Selecting the drop down under "Presets" will display a list of pre-built privacy presets that cover a number of scenarios
- Below the preset name you will see the individual privacy options with the current status based on your current preset.
Unsure about what the preset does?
- Each of the presets will show a small flavour text below the drop down once selected to give you a better idea of what it will do for you.
- Each of the individual presets have a tool tip, when you hover over with your mouse it will show additional context for each specific control.
Looking to craft your own preset?
Maybe the presets don't quite meet the match for your event and you find yourself wanting to have some controls from one presets, and others from another.
- Select the preset that is closest to what you'd like to set
- Choose the 3 dots beside the preset name, and choose edit
- Each individual control will now be active and can be toggled on or off
- Once you have it set, enter a name for the preset, you also have the option of adding your own flavor text but it is not required.
- Select Save Preset, you will now see your created preset with a custom tag.
How do I make guests see only their own photos?
Each guest receives a link to their own session. You choose whether anyone can open the full gallery using the presets on the Access tab (see Setting a Preset above).
Admin Access only: guests get only their own session and do not receive a link or access to the full gallery.
Password-protected for client: guests get only their own session. You set a passcode, and only people you give that passcode to (for example your client) can view the whole gallery. The passcode is not included in the guests' texts or emails.
Note: choose Password-protected for client, not Password protected. They are different presets.
Also hide the login button in your gallery settings so guests never land on a passcode screen.
How do I check what my guests will see?
If you are logged in to Booth.Events in your browser, opening a gallery or session link logs you in as the admin, so you will see the whole gallery. To see the guest experience:
Open a private browsing window (or a browser that is not logged in to Shared.Gallery).
Do a test capture and open the session link in that private window.
You will now see exactly what a guest sees.
Common questions
Why are my guests seeing everyone's photos?
Your event is using a preset that leaves the gallery open. Change the preset on the event's Access tab to Admin Access only or Password-protected for client, then test in a private browsing window.
I can see the whole gallery when I open a guest link. Is it broken?
Probably not. You are logged in as the admin. Test in a private browsing window instead.
Do I have to give out the passcode?
No. With Password-protected for client you must set a passcode, but you only need to share it with people who should see the full gallery.
Can I stop guests receiving the original (untemplated) photo?
Yes. Turn off original uploads in the app before you launch the event. See How to Toggle Original Photo Uploads.
The toggles are greyed out. How do I change one setting?
You are in a preset. Use the 3 dots beside the preset name and choose edit (see Looking to craft your own preset? above).
